Before users can use Content Plan Readiness with Vault AI, a Vault Administrator must configure the feature in Application Settings, configure the scheduled readiness job, activate the Content Plan Readiness Assistant agent, and grant the required permissions.

Enabling Content Plan Readiness

The Content Plan Readiness feature requires Vault AI to be enabled in the Vault.

After Vault AI has been enabled, to enable Content Plan Readiness:

  1. Navigate to Admin > Settings > Application Settings.

  2. Locate the Submissions Features section.

  3. Select Enable Content Plan Readiness.

  4. Configure the applicable Content Plan and Content Plan Item lifecycle states as described in the following sections.

  5. Activate the Content Plan Readiness scheduled job as described in the Activating the Content Plan Readiness scheduled job section.

  6. Activate the Content Plan Readiness Assistant agent and configure its permissions as described in the Configuring the Content Plan Readiness Assistant agent and Configuring Permissions sections.

The Enable Content Plan Readiness setting is disabled by default. When it is not selected, readiness assessments do not run and the readiness agent does not offer to check a Content Plan.

Configuring Eligible Content Plan States

Use the Eligible Content Plan Readiness Scheduled Content Plan States Application Setting to specify the Content Plan lifecycle states that make a Global Content Plan eligible for the scheduled readiness assessment.

This setting is empty by default. Select the lifecycle states that correspond to the states in which your organization wants Content Plans to be assessed by the scheduled readiness job.

The scheduled assessment skips Content Plans in any state you do not select. This setting does not affect readiness checks that a user requests on demand: on-demand readiness check can be run regardless of the Content Plan’s lifecycle state.

Configuring Eligible Content Plan Item States

Use the Eligible Content Plan Readiness Report Scan Content Plan Item States Application Setting to specify the Content Plan Item lifecycle states that are included in readiness assessments.

This setting is empty by default and must be populated after Enable Content Plan Readiness is selected.

Content Plan Items in a selected lifecycle state are included in the readiness assessment. Items in other states are not scanned and do not receive a readiness result.

Activating the Content Plan Readiness Scheduled Job

The Content Plan Readiness scheduled job must be activated to enable scheduled readiness assessments.

To activate the job:

  1. Navigate to Admin > Operations > Job Definitions.
  2. Locate the Content Plan Readiness Check - Scheduled job.
  3. Activate the job using the available job configuration controls.
  4. Verify that the job is active after completing the configuration.

Configuring Permissions

Grant the following application permissions to the appropriate permission sets:

  • View Content Plan Readiness Report allows users to view Content Plan readiness results.
  • Trigger Content Plan Readiness Job allows users to initiate an on-demand readiness assessment.

These permissions are located under RIM Global Content Plan and are not granted by default for permission sets without the All Vault Actions permission.

In addition to these application permissions, update the applicable permission sets to grant the relevant user permission sets with access to the Content Plan Readiness Assistant agent.
